About the Role:

 

This is a high-impact, hybrid role designed for a meticulous financial professional who thrives at the intersection of technical accounting and regulatory oversight. Operating within the fast-paced mortgage and financial services sector, you will be the primary guardian of the company’s financial integrity and licensing standing. You won't just be "doing the books"; you will be managing the complex web of state-specific regulations, NMLS requirements, and multi-entity reconciliations that allow the business to operate across the country.

 

Key Responsibilities

1. Core Accounting & Financial Management

  • Manage day-to-day accounting activities within QuickBooks Online (AP/AR,
  • journal entries, vendor management).

  • Perform monthly and high-frequency reconciliations across all bank accounts,
  • warehouse lines, and intercompany accounts.

  • Maintain alignment between QuickBooks Online and external CPA records
  • (QuickBooks Desktop).

  • Support cash flow tracking, liquidity monitoring, and internal financial
  • reporting.

  • Assist in preparing monthly financial statements and supporting schedules.

2. Reconciliation & Reporting

  • Lead detailed account reconciliations across operating, trust, and warehouse
  • accounts.

  • Identify and resolve discrepancies quickly to maintain clean books.
  • Prepare internal financial reports for leadership, including:
  • P&L summaries
  • Balance sheet reconciliations
  • Loan-level profitability tracking (as needed)
  • Support year-end close and CPA audit preparation.

3. Multi-State Tax & Regulatory Support

  • Assist in managing state tax filings and compliance requirements across all
  • states of operation.

  • Coordinate with external CPA firm on:
  • Franchise taxes
  • State-specific filings
  • Annual reports
  • Track filing deadlines and ensure timely submissions.

4. NMLS & Licensing Compliance

  • Manage and maintain all NMLS company records and filings, including:
  • Mortgage Call Reports (MCR)
  • MU1/MU3 updates
  • Branch and company record maintenance
  • Track and manage state licensing requirements and renewals.
  • Serve as an internal point of contact for licensing compliance and regulatory
  • updates.

5. Audit & Internal Controls

  • Support internal and external audits, including:
  • State examinations
  • CPA reviews
  • Maintain organized financial records and documentation for audit readiness.
  • Assist in establishing and maintaining internal controls to ensure accuracy
  • and compliance.

6. Process Improvement

  • Improve workflows between QuickBooks Online and external accounting
  • processes.

  • Identify opportunities to streamline reconciliation and reporting processes.
  • Help implement systems and procedures that improve financial visibility and
  • accuracy.

Ideal Candidate Profile

  • Highly detail-oriented with a strong reconciliation mindset.
  • Comfortable working between internal systems and external accounting
  • partners.

  • Organized and proactive in managing deadlines across multiple states.
  • Able to operate independently while supporting executive leadership.
  • Experience in mortgage, banking, or financial services environments is
  • strongly preferred.

Required Skills & Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, or related field
  • Experience: 4–7 years of accounting experience (mortgage or financial
  • services preferred)

  • Software:
  • QuickBooks Online (required)
  • Advanced Excel (pivot tables, reconciliations, data analysis)
  • Knowledge:
  • GAAP fundamentals
  • Multi-state tax and regulatory environments (preferred)
  • NMLS system experience (strongly preferred)
  • Communication:
  • Ability to clearly present financial data and issues to leadership
